We are currently seeking to fill the role of Executive Assistant at our Spokane, WA headquarters, supporting members of our Executive Team. In this role, you will experience all the benefits of working for a fast-paced, entrepreneurial company while having a significant impact on the successful implementation of Ecova’s strategic plan and operational structure.

Role Description
In this role you will support members of our Executive Team through successful organization and task management. You will prepare meeting agendas, correspondence, high-level presentations and conduct business research using a variety of computer software for board meetings, staff meetings and other corporate sponsorship meetings.

You will partner with other members of our administrative support network to manage and support organization-wide tasks and initiatives, as well as provide back-up for the Executive Assistant to the CEO. You will also have extensive experience “managing” executives and quickly gaining their trust in order to help them operate more efficiently and increase their effectiveness. Both internal and external customers should see you as a true extension of the Executives you support.

Some of your regular duties will include filing of paper and electronic documents, completing Executive expense reports, coordinating schedules & maintaining supplies for conference rooms, and coordinating travel. You will be particularly adept at managing an executive’s calendar and helping to prioritize tasks and responsibilities. You will support the Executive Team by building PowerPoint presentations in coordination with internal and external events, and will assist in facilitating the quarterly Board of Directors meeting.

Role Competencies
As our ideal candidate you have a minimum of 5 years of successful progressive administrative experience in a corporate office environment. You possess a bachelor’s degree or the equivalent amount of relevant work experience in addition to your administrative experience. Experience in a fast-growing, entrepreneurial environment, and experience coordinating Board of Director meetings in an organization with greater than 500 employees (or any combination) will move you to the top of our list. You have superior organizational skills, accuracy, and attention to detail. Your written and verbal communication skills are excellent along with your ability to multi-task, prioritize and meet deadlines, while consistently maintaining a professional demeanor. You have a strong ability to build and maintain positive relationships with internal and external customers and are able to maintain a high degree of professionalism at all times, particularly when confronted with highly confidential information.

You consider your proficiency with MS Office (Outlook, Word, Excel, PowerPoint and Visio) to be advanced and you are willing to learn new software if requested. Experience with MS SharePoint is a plus. You have experience creating presentations, spreadsheets, and other written communications which are vital to your success in this role along with your ability to work well in a fast-paced environment and to remain calm during hectic periods of activity.
